
It may seem odd to think of using voice mail and effective in the same sentence, but voice mail is a means of communicating and exchanging information. The down side for me is when you play phone tag and there in no follow-up from all the messages left. To utilize effective voice mail, prepare your message before you leave it. Leaving a message that is incoherent, inarticulate and no clear meaning will leave the receiver thinking that your message is not worth responding to. Always speak clearly and identify yourself and communicate the nature of your call with as much concise details as quickly as possible without overwhelming the receiver. When leaving your call back number, speak slowly and repeat the number. Engage the receiver by ending your message with an affirmation such as ‘I look forward to speaking with you.’ Following these simple rules of etiquette will almost ensure that the person on the receiving end will return your call and you will demonstrate your ability to effectively communicate.
