A Letter in the Box is Worth 20 Emails on the Screen
When I went to pick up my mail at my business PO Box , I found something I rarely see in the midst of advertisements, catalogs and a bill or two – a letter
 
The sender was a small company in my town that provides accounting services to small and medium-sized businesses. The tone was friendly, they showed that they knew something about my business, and they clearly described their service offerings and pricing.   They offered to meet with me, indicated a willingness to learn more about my company and its unique situation, and gave a few quick examples of what they do for other smaller businesses. 
 
By sending a letter instead of using a generic ad, brochure, or spam email, they made me sit up and take notice. The pendulum has swung so far in the electronic direction, that a letter is a great differentiator. This company’s quality, personalized communication gave me the immediate impression that I wouldn’t be just another client if I decided to do business with them.
 
Does a letter take more effort? Absolutely, and it costs more, too – even if you print the stationary on your computer, there’s the 39 cents postage. Will you look old-fashioned? Not if your letterhead includes your email and website address. Will it be worth it? Not if you sell to the mass market, but if you sell personalized services, it most certainly will be.
 
There are sites with “form” letters (such as For Home Business  or Business Nation ) that you can personalize. They can give you an idea of what you shouldn’t forget to include, but the best thing to do is to write the way you speak, then use their examples to polish up your letters. And make certain to acknowledge that they will be the center of the relationship, not the other way around. I don’t need this company’s services right now, but I have their contact info in my Outlook and their name in my plans for next year!
